How does the Creative Team work?
Once you've signed up for the Creative Team (by continuing through the rest of this form and signing our independent contractor agreement), you'll be added to our listerv. We send out emails approximately once a month (sometimes more or less depending on needs) where we list a collection of upcoming wedding and event opportunities with a few basic details such as date and location of each. Members of the Creative Team then reply to our email with their availability for the listed dates. We fill our teams on a first-come-first-serve basis depending on the individual needs and scale of each event. We will let you know which projects you've been selected for so you can mark your calendar.
The week of the event, a detailed timeline with location information and project details is sent to the team. Each team member confirms they've received this.
Finally on the day of the event, the team meets at the team event location for a rundown of the event, to help load event items , flowers and supplies into the vehicles, and to carpool together to the event location. The team works together to unload, setup, and fine tune the flowers for the event before lighting candles and going their separate ways until the breakdown portion of the evening, where they join up again to strike the event very quickly – led by a The Eventz Team site manger for the Breakdown details, who will guide them all to victory! After breaking down the event, the team returns to the drop off locations together to unload the vehicle neatly into the location and returns any rented vehicles.

What is expected of me if I sign up?
1. We do expect that you'll reserve the ENTIRE weekend for us when you sign up for a work placement. Event timelines are a fluctuating thing, and we will not have the full timing of the day available to us until closer to the event. We send a full highly-detailed schedule to you the week of the event. We also expect (to the best of your ability) that you'll give us as much notice as possible should you need to back out of an event, as we are counting on every able body that has signed up!
2. We also expect that you'll not only take part in both the setup hours of the event (which can range from 4-12+ hours, but typically hangs around 7-8 total hours) BUT ALSO the breakdown of the event, which typically happens sometime between 10:00pm and 1:00am after the event conclusion. It is ideal that the breakdown team is the same people that set up, as they are most capable of working quickly, knowing where everything is and where everything goes, and have practiced working efficiently together during the setup hours.
3. You can expect to see and take part in a lot of grunt work – help unloading event items, flowers, decor etc. and supplies, unpacking containers, setting up, lifting, a tiny bit of designing, and a lot of clean up. You can expect to work in all kinds of conditions because whether it's rain, snow, or extreme sunshine, the event day must go on! We ask that you come with a positive attitude and a helpful disposition, whatever the day may hold.

What can I expect of the event Team if I sign up?
1. You can expect a paycheck! We don't allow volunteer work for event placements. We pay $15 an hour for setup and $30/hr for breakdown. It's hard work but it's so satisfying and always fun to watch a big day come together.
2. You can expect to have fun with us! It's our goal to enjoy the event day, even if there are tense moments. We work through those hustle times together, but the overall objective is to enjoy what we are doing! So you can expect to be treated kindly and to be surrounded by a fun team.
3. You can expect that we'll take a lot of team selfies and express a lot of gratitude for your hard work! We can't do what we do without our incredible Creative Team!

This Agreement (“Agreement”) is made and entered into the day this form is submitted (“Effective Date”) between and among The Eventz Team INC, hereafter referred to as “SRV or Company,” a company of the State of Tenness, and Independent Contractor Name, hereafter referred to as “You” or the “Contractor.”
THEREFORE, the Company and the Contractor agree as follows:
1. GENERAL TERMS AND EVENT GUIDELINES.
a. During the terms of this Agreement, the Contractor agrees to provide services in accordance with the Company’s needs for specific events and/or as outlined in Attachment A.
b. Contractor understands that services may or may not be needed and by signing this Agreement there is no guarantee of any hours and/or events.
c. Contractor will be contacted approximately five (5) days prior to an event with the specific details, at which point Contractor may accept or decline the job.
d. Contractor acknowledges this is a labor intensive job and agrees to inform the Company of any physical limitations which may impact performance prior to the event.
e. Dress code is wearing all black. Overall goal is to dress for comfort and ease of doing our job but balanced with being neat and put together as to not stand out! Closed-toed, comfortable, sturdy shoes. The below are general guidelines, a more specific dress code may be required depending on the event and if so, SRV will communicate that to the Contractor.
i. For gentlemen, please wear a black solid t-shirt, collared polo or button-up with no words or graphics.
ii. For ladies, please wear pants or opaque professional leggings with closed-toed, comfortable, sturdy shoes. Modest necklines and skirt/dress lengths please!
f. On-Site Behavioral Guidelines and Restrictions: Sweet Root teams are known for being friendly, cheerful, and hard-working and we are so grateful to have you on the team to represent us! Please keep the following in mind when it comes to your behavior and interactions on-site at weddings and events: no foul language, no tobacco or alcohol use onsite (this includes all forms of smoking, vaping, and/or e-cigarettes), consider noise level of interactions, be respectful of other staff, avoid cell phone usage while working other than emergencies or image/social media usage directly related to the event, and please wear an apron (or logo'd polo shirt) at all times during event. Do not drive SRV owned or rented vehicles unless authorized by team leader for insurance purposes and be sure to let your team leader know if you have any physical limitations or concerns. Direct all questions from the planner or other vendors/clients to your team leader to avoid miscommunications.
g. Parking: If you are meeting us at the warehouse, please be sure to park directly in front of our warehouse unit. No other parking is allowed in the warehouse complex. The Company is not liable for any damages to vehicles and/or fines/towing that may result from parking in an incorrect parking zone.
2. PAYMENT. Unless otherwise agreed upon, Contractor is responsible for submitting all hours via time sheet in writing to SRV. The Company will make payment to You via check, Venmo, or direct deposit on the day of the event or no later than 5 business days after the event. Hours worked outside an event will be paid on a bi-weekly schedule when the Company payroll is processed. Contractor is responsible for submitting all reimbursement requests to SRV within seven (7) days following the date of the event. All reimbursements are subject to approval and Contractor should communicate with the Company if there are any questions regarding such reimbursements.
3. TERM AND TERMINATION. This Agreement is intended to be for one (1) year, at which point it may be renewed. The Company reserves the right to cancel the Agreement at any time for any reason. The Contractor has the right to cancel the Agreement at any time as long as no hours and/or jobs are pending.
4. INTELLECTUAL PROPERTY RIGHTS. Nothing in this Agreement shall transfer ownership of or rights to any intellectual property of the Company to the Contractor, nor grant any right or license other than those stated in this Agreement. Should Contractor take any photos while working for SRV, photos of any floral elements and/or décor must be credited to SRV.
5. RELATIONSHIP OF PARTIES. The Company retains Contractor only for the purposes and to the extent set forth in this Agreement. Nothing in this Agreement shall be deemed to constitute a partnership, joint venture, agency relationship or otherwise between the parties. It is understood by the parties that Contractor is an independent contractor with respect to the Company and not an employee. The Company will not provide fringe benefits, including health insurance benefits, paid vacation, or any other employee benefit, including Workers Compensation benefits.
6. DISCLAIMERS AND LIABILITY. Contractor should carry general liability insurance. Company is not responsible should Contractor be injured during work and Contractor must follow all safety instructions to avoid injury. Company is not responsible should Contractor have any allergic reactions to flowers or plants being utilized and it is Contractor’s responsibility to be aware of his/her own limitations.
7. CONFIDENTIALITY AND NON-DISCLOSURE. The Company, as the Discloser, has certain exclusive rights and has agreed to provide the Contractor with information relating to the business so that Contractor, as the Recipient, can perform the duties to the best of his/her ability as outlined in this Agreement (the “Purpose”).
As used in this Agreement, the term “Confidential Information” includes all information furnished by or on behalf of the Company, or any of their respective Representatives to the Contractor or its Representatives, whether furnished before, on or after the Effective Date and furnished in any form.
Confidential Information includes but is not limited to written, verbal, visual, electronic or in any other media or manner. Confidential Information includes all proprietary technologies, know-how, trade secrets, discoveries, inventions and any other intellectual property (whether or not patented), analyses, business or technical information and other materials or ingredients prepared by the Company or any of its Representatives, containing or based in whole or in part on any such information furnished by the Company or its Representatives. Confidential Information also includes the terms of this Agreement.
Confidential Information excludes any part of such information which the Contractor can show by documentary evidence: (a) other than in respect of the Trade Secrets, is at the date of this Agreement or subsequently comes into the public domain otherwise than by reason of any breach of this Agreement by the Contractor; or b) was within the possession of the Contractor free of any restriction prior to the date of disclosure by the Company; or (c) was received by the Contractor from an independent third party free of any restriction and without breach of any obligation of confidentiality owed to the Company.
The Contractor agrees that it will not disclose Confidential Information of the Company to any third party or use Confidential Information of the Company except for the Purpose, without the prior written consent of such Company, except as required by law or regulation; provided, however, that prior to making any such legally required disclosure, the Contractor shall give the Company as much prior notice of the requirement for and contents of such disclosure as is practicable under the circumstances so that Company may take action to safeguard its interests, and the Contractor shall cooperate with the Company’s efforts, at the Company’s expense, to preserve the confidentiality of the Confidential Information.
No other right to the Confidential Information or to any of Company’s patents, copyrights, trademarks, trade secrets or other proprietary rights is granted hereby and nothing contained in this Agreement shall be construed as creating an express or implied license to use the Confidential Information or such patents, copyrights, trademarks, trade secrets or other proprietary rights for any purposes other than the Purpose.
The Contractor’s obligations of confidentiality and non-use shall continue indefinitely after termination of this Agreement. Confidential Information which is disclosed in writing or, if disclosed orally, and is confirmed within thirty (30) days in writing as being a trade secret of the Company, shall be maintained in secret until such time as it no longer qualifies as a trade secret or until such time as the Company advises the Contractor in writing that such information is no longer a trade secret.
8. GOOD FAITH. Each party represents and warrants to the other that such party has acted in good faith, and agrees to continue to so act, in the negotiation, execution, delivery, performance and any termination of this Agreement.
9. NON-DISPARAGEMENT. The Parties agree and accept that the only venue for resolving a dispute shall be in the venue set forth herein below. The Parties agree that they neither will engage in any conduct or communications with a third party, public or private, designed to disparage the other. Contractor shall not make any false, disparaging, or derogatory statement in public or private regarding the Service Provider or Company, its employees, or agents. The Service Provider shall not make any false, disparaging, or derogatory statements in public or private regarding Contractor and its relationship with the Company.
10. DISCLAIMER OF WARRANTIES. The Services provided to the Company by the Contractor under this Agreement are provided on an “as-is” basis, without any warranties or representations express, implied or statutory; including, without limitation, warranties of quality, performance, non-infringement, merchantability or fitness for a particular purpose. Nor are there any warranties created by a course of deal, course of performance or trade usage.
11. INDEMNIFICATION. Each party shall indemnify, defend, and hold harmless the other, its current and former employees, or agents, from and against any claims, including third party claims, demands, loss, damage, liability, or expense (including attorney’s fees) relating to a) the negligence, recklessness, or willful misconduct of the indemnifying party or any party under direction or control of the indemnifying party, b) a material breach of this Agreement by the indemnifying party, or c) the damage, loss, or destruction of any property, profit, or revenue (both real or imagined) of the indemnified party, or its Contractors.
12. DISPUTE RESOLUTION. If a dispute is not resolved first by good-faith negotiation between the parties to this Agreement, every controversy or dispute to this Agreement will be submitted to the American Arbitration Association. The arbitration shall occur within ninety (90) days from the date of the initial arbitration demand and shall take place in Washington D.C. or via telephone conference. The Parties shall cooperate in exchanging and expediting discovery as part of the arbitration process and shall cooperate with each other to ensure that the arbitration process is completed within the ninety (90) day period. The written decision of the arbitrators (which will provide for the payment of costs, including attorneys’ fees) will be absolutely binding and conclusive and not subject to judicial review, and may be entered and enforced in any court of proper jurisdiction, either as a judgment of law or decree in equity, as circumstances may indicate.
13. GOVERNING LAW. This Agreement shall be governed by and construed in accordance with the laws of the State of Virginia, regardless of the conflict of laws or principles thereof.
14. ENTIRE AGREEMENT. This Agreement contains the entire agreement between the parties and supersedes all prior agreements between the parties, whether written or oral. No representations, inducements, promises, or agreements which are not embodied herein shall be of any force or effect. This Agreement may not be modified, amended, varied, waived, explained, added to, extended, changed in any way, except by a written instrument executed by a person authorized to execute such an instrument on behalf of both the Contractor and the Company.
